Refund Policy

Subscriptions are not refunded once they start, because the costs behind them are spent as they are used. Here is exactly what that means, what we do return, and the 14-day trial that means you never have to find out the hard way.

The policy

Payments for WelcomeAI subscriptions and add-ons are final and are not refunded. This applies to monthly and yearly plans, to the periods within them, and to any allowance you buy on top of a plan.

You can cancel at any time from inside the app. Cancelling stops the next charge and takes effect at the end of the period you have already paid for -- you keep the plan and its limits until that date. We do not refund the unused part of a period, and we do not prorate a cancellation or a downgrade.

Why, specifically

This is not a preference about money, it is the shape of the costs. What you pay for is consumed as you use it, by third parties, at the moment it happens:

  • Every answer spends model tokens. A question is retrieved, a prompt is assembled and a model generates a reply, which is billed to us by Anthropic when it is generated. Once an answer has been given, that cost is gone.
  • Every document spends embeddings. Indexing splits your content into passages and turns each one into a vector through OpenAI, charged per passage the first time it is processed.
  • Every indexed passage occupies storage for as long as it is searchable, along with the file it came from.
  • Card processing is charged per transaction by our merchant of record and is not returned to us when a payment is reversed.

Refunding a period that has been used would mean returning money that was already spent on your workspace's behalf and cannot be reclaimed from the providers it was spent with. That is the whole reason, and it is why the answer does not change with the amount or the reason for asking.

Evaluate before you pay, not after

Because we cannot refund what has been used, we make sure you never have to pay to find out. Every new workspace starts on a 14-day trial of the Pro plan with no card required: every surface, every connector, the real limits, your own content. Nothing is charged and there is nothing to cancel.

Use it the way you intend to use the product. Index your real documents, put the widget on a real page, ask the questions your customers ask. If it does not answer them well, the trial ends and you pay nothing.

When a trial ends without a plan, the workspace goes read only -- it is not deleted. Your knowledge bases, documents, conversations and leads stay where they are, and choosing a plan later brings them back exactly as they were. That is also what happens if you cancel a paid plan, so cancelling is never a decision about losing your work.

The limits each plan enforces are on the pricing page, and they are read from the same rows the product checks against, so what you see there is what you get.

What we do refund

These are amounts we were never owed, so they are returned in full rather than treated as refunds of a plan:

  • A duplicate charge -- the same period billed twice.
  • A charge after a valid cancellation. If a renewal is taken after you cancelled, it goes back.
  • An amount billed in error by us -- the wrong plan, the wrong currency, an add-on you did not buy.
  • An unauthorised charge, once the payment is confirmed as not yours.
  • The unused part of a period, if we end the agreement without cause. This is already promised in the Terms of Service and it stands here.

We do not refund because a plan went unused, because a workspace was forgotten, because a renewal was not expected, or because a feature did not fit -- the trial exists so that last one is answered before any money moves.

Your statutory rights

Nothing in this policy takes away a right you have by law. If you buy as a consumer and the law where you live gives you a right to cancel a distance contract or to a remedy for a service that was not as described, that law applies and this policy does not override it.

Consumers in the European Union and the United Kingdom have a 14-day right of withdrawal from a distance contract. Because a subscription starts immediately, asking us to begin the service within that window means performance starts during it; if you then withdraw, you are charged in proportion to what was supplied up to that point and the rest is returned. Exercise it by writing to billing@welcomeai.dev within 14 days of the purchase.

Consumers in Argentina, where Mauro Carrera (CUIT 20-35043486-1) is established, have the rights given by Ley 24.240 de Defensa del Consumidor, including its revocación period for contracts concluded at a distance. Those rights apply regardless of anything above.

If a statutory right and this policy disagree, the statutory right wins. Tell us which one you are relying on and we will apply it without argument.

How to ask

Write to billing@welcomeai.dev from the email address on the account. Include the workspace name, the date and amount of the charge, and what you believe went wrong. We reply within two working days and, where a refund is due, issue it to the original payment method within ten working days of agreeing it -- how long it then takes to appear is your bank's.

Please write to us before opening a dispute with your bank or card issuer. A chargeback is decided by the card network on the paperwork rather than on the facts, it costs us the transaction fee either way, and while one is open we may suspend the workspace it relates to. Almost everything worth refunding on this page is something we can settle in one email.

Who takes the payment

Payments are processed by Lemon Squeezy as merchant of record. They appear on your statement, they handle sales tax and VAT, and their terms cover the transaction itself. Their receipt is your invoice, and every paid invoice is also listed in your workspace under Billing.

Refund requests still come to us: we decide them under this policy and instruct Lemon Squeezy to carry them out. Asking them first only adds a step.

Changes to this policy

We may update this policy. The version that applies to a payment is the one published when the payment was taken, and the date at the top of this page is always the current one. A change that materially reduces your rights is announced in the product or by email at least 30 days before it takes effect, in line with the Terms of Service.

Does WelcomeAI offer refunds?
No. Subscriptions and add-ons are not refundable once the period or the allowance has started, because the costs behind them -- model tokens, embeddings, vector storage -- are spent as they are used and cannot be recovered. Every plan can be evaluated first on a 14-day Pro trial that needs no card.

What happens if I cancel in the middle of a month?
You keep everything you paid for until the end of that period, and you are not charged again. There is no partial refund for the days you did not use, because the allowance for the period was available to you throughout it.

What will you refund?
A duplicate charge, a charge taken after a valid cancellation, an amount we billed in error, an unauthorised charge, and the unused part of a period if we end your agreement without cause. Where consumer law in your country requires a refund, that law applies over this policy.

Do I lose my content if I stop paying?
No. A workspace without an active plan goes read only rather than being deleted: your knowledge bases, documents and leads stay exactly where they are, and choosing a plan brings them back. Deletion only happens when you ask for it.
